How to Use Compliance Hub

Learn how to navigate and manage your compliance-related tasks within Moxie Suite's Compliance Hub.

1. Within Global Nav, click on Compliance Hub

✏️ Note - When a compliance task needs your attention, a red notification bubble will appear, showing the number of tasks, as seen in the image below.

2. After clicking Compliance Hub, you'll land on the homepage, which has three tabs: Home, MD Meetings, & Adverse Reactions. Let's go over the Home tab and all of its components.

Appointment Overview 

1. Each compliance task is assigned to a specific section. For example, out of 68 tasks from our example above, 3 are related to Appointments. This helps you easily identify and prioritize your tasks. Let's review the Appointment Overview section.

2. The Appointment Overview table defaults to display the last 30 days of appointments. You can select from two additional date ranges by clicking on the date filter>selecting date range > Show results. You can select from:
    • Current Month
    • Last 30 days (default)
    • Last 7 days

3. Now, let's take a look at the table. Here you'll see:
    • A list of all providers 
    • Medical Appts: Appts needing GFE and chart services that do not require a GFE are not included. 
    • GFE adherence: Services performed in the selected timeframe that were 'indicated’ through the GFE
    • Chart punctuality: Charts should be completed within 72 hours of appointment. View % of charts reviewed within 72 hours
    • MD chart review: Generally, MDs are required to review 10% of provider charts. View what % of your completed charts they have reviewed
    • Dash: No medical appointments were performed during the designated time period. All other columns will have a dash. 
    • Exclamation: An issue related to the specific column, e.g., a service was performed that did not adhere to the client's GFE.

4. Let's take a closer look at GFE adherence. We know it's important to follow every client's GFE, and if a service ever falls outside those guidelines, Moxie will highlight this. To understand what happened, start by hovering over the highlighted alert in the table and click on it. A pop-up will appear, showing you the visit's date, time, and the client's name. Then, by clicking on that visit, you'll be taken straight to the appointment overview page, where you can review the details.

Protocols and Standing Orders

1. The Protocols and Standing Orders table shows all providers and the official offerings enabled at your medspa. Here's what each color/icon means:
    • Yellow: A standing order or service protocol hasn't been requested.
    • Green: The standing order or service protocol is completed.
    • Dash: The standing order or service protocol is not required.
    • Clock: The standing order or service protocol was requested but not yet completed. Typically, this indicates a document is awaiting one or more signatures. 

This color-coded system makes it easy to track the status of your compliance tasks at a glance, ensuring you stay on top of what needs attention and what's already completed.

2. If a task needs your attention, you can easily navigate to the correct section of your clinical documents to complete it. Just click on the task, then select Go to [document section] (e.g., Go to Service Protocols)

3. You can also navigate to the clinical documents homepage by clicking on the Open Clinical documents button at the bottom of either table. This makes it quick and easy to find all your clinical documents, like intake forms and consent forms, in one place.

Service Documents

1. Similar to service protocols & Standing orders; The Service Documents table shows your service menu items along with their related forms helping you easily manage and track all necessary documents for each service, including:

  • Intake forms
  • Consent forms
  • Pre-care forms
  • Post-care forms
Click on Go to Pre-Care forms
 

PC/MSO Set-up

Tip 💡 - Click here to refresh your knowledge of the PC/MSO structure required by your state.

1. The next section is all about PS/MSO setup documentation. These are documents that would have been completed as part of opening up a medspa. 

Click on Professional Corporation Set-up

2. Under the PC Setup section, you'll be able to see information about and documents related to the PC, including:

    • PC owner name
    • PC name
    • EIN
    • Incorporation of PC 
    • Sales Tax certificate
    • Professional Corporation EIN
    • PC Bank Account

Let's move on to the MSO Setup; under this section, you'll find a dedicated space to upload and manage your MSO documents, such as legal entity setup, business licenses, DBA filings, and more.

Note ✏️ - These documents are not preloaded. As the MSO owner, the option is available to upload these files into Moxie Suite for centralized viewing.

 

3. To upload an MSO document, start by clicking on the open MSO-set-up button.

4. On this page, find a non-completed task and click on the ellipses > Upload new document

5. Within the task page complete the following:
    • Upload a PDF file from your computer
    • Enter the expiration date
    • Click Save when complete

PC component upload permissions 

Every practice has its own PC/MSO setup, so the permissions may look different based on your specific structure. Let's take a closer look:

Moxie PC (you're under Moxie's PC)

    • Will have all documents related to the PC preloaded. Providers are able to view documents but not edit them. 

Moxie-managed PC (Moxie helped you set up a PC)

    • If Moxie helped set up a PC, we will upload all PC-related documents that we have available to us. Provider and MD owners can edit the PC documents (whoever is a shareholder on the agreements)

Non-Moxie PC

    • If Moxie did not assist in setting up your PC, this area will not have any documents uploaded. Only PC owners can view and edit the PC documents.

Non-MSO

    • Your state does not require a PC, and as such, the PC section does not exist.

Provider Business Set-up

1. Let's review the final section under the Compliance Hub home. Under Provider Business Setup you'll see a list of each provider at your medspa who performs a medical service. Here, you'll be able to easily upload:

    • Medical Licenses,
    • Prescriptive Delegation and Collaborating Agreements (for PAs and NPs),
    • Affirmations for BLS or CPR, Bloodborne Pathogens, and OSHA training.

Note ✏️ - If Moxie helped send the collaboration agreement through our signature system, we can pull this for you. Please let your PSM know if you need a copy.

2. To begin the uploading process, click the Open Provider Business Set-up documents button.

3. On the next page, locate the provider you need to upload documents for and click on their name to continue.

4. Once you're in the provider's profile, navigate to the relevant document section. Click on the three dots (ellipses) next to it, then Upload new document

5. Similar to uploading MSO documents you'll need to complete:
    • Upload a PDF file from your computer
    • Enter an expiration date
    • Click Save when complete.

MD Meetings

In this section, let's explore how to view and create new MD meetings.

1. Within Compliance Hub click on the MD Meetings tab > Create an MD meeting

Once you're on the Compliance Hub, click on MD Meetings > Create an MD meeting.

2. Within the side drawer you'll enter the following information:

    • Select provider
    • Select MD
    • Select the date and time 
    • Confirm meeting type ( Video call, phone call, or in-person)
    • Add meeting details 
    • Click Create meeting

❗Important - If you decide to hold the meeting via video conferencing, please set it up and send an invite to your MD from the chosen platform e.g., Google Meets, Zoom, Microsoft Teams, etc.

Adverse Reactions

 

 1. Within Compliance Hub, click on the Adverse Reactions tab.

2. Here you will see a list of any reported adverse reactions and status (AR status). Click on a adverse reaction card to learn more.

3. This will take you directly to the appointment where the adverse reaction happened. Once there, scroll to the Adverse Reactions section to follow up on or review the report.
