You can upload a completed synchronous GFE document by navigating to the client's profile or their appointment details in Moxie Suite. Look for the option to upload documents, select your completed GFE file, and upload it. Don't forget to enter the date the exam was completed; this ensures the document will automatically expire one year later, keeping your records up to date.

By entering the exam completion date when uploading a GFE document, Moxie Suite automatically sets the document to expire one year from that date. This helps you maintain current records without the hassle of manual tracking, ensuring compliance and reducing administrative workload.

What does initiating synchronous GFE reviews within Moxie Suite entail?

Separate from uploading a completed GFE document, this new feature allows you to start a synchronous GFE review directly from Moxie Suite. It connects your clients with a GFE reviewer in real-time, eliminating the need to manually upload documents. The completed reviews automatically sync back into Moxie Suite, making the process more efficient and keeping everything organized.

How do I initiate a synchronous GFE review in Moxie Suite?

To initiate a review, go to the client's profile or appointment details and select the option to start a synchronous GFE review. You can choose to complete the review in-office on your device or send a secure link to your client for remote completion. Detailed steps are available in our Help Center article and video.

What are the costs associated with synchronous GFE reviews?

There are two exams available (read more in the next FAQ). The cost per exam is $27.49. If you need both Exam 1 and Exam 2 for a client, the combined total is $33. You're charged per exam, not per individual service within that exam. This transparent pricing helps you manage costs effectively.

What services are included in Exam 1 and Exam 2?

Exam 1 covers most cosmetic and aesthetic treatments, such as fillers, neuromodulators, skin rejuvenation therapies, body contouring, laser treatments, and other core medspa services.

Exam 2 focuses on IV therapy, vitamin injections, and GLP-1 treatments.

When and how will I be billed for exams?

You will be automatically billed to the card on file once the GFE reviewer completes their assessment for the exams you've requested for a client.

For example:

Single exam request: If you request services only from exam 1 (e.g., neuromodulators) or only from exam 2 (e.g., GLP-1 treatments), the cost is $27.49.
Both exams requested: If you request services from both exam 1 (e.g., Radiesse) and exam 2 (e.g., IV therapy), the total cost is $33.

This means you're charged per exam, not per individual service within an exam. So even if you request just one service from an exam, it counts as requesting the entire exam. For a full breakdown on what each exam covers please review this FAQ.

Do I need any additional software to use these new features?

No additional software is needed. Both the synchronous GFE upload and the ability to initiate synchronous GFE reviews are integrated directly into Moxie Suite.

Will I still be able to manually upload GFE documents if I prefer?

Absolutely! If you prefer or need to, you can continue to manually upload completed GFE documents using the new upload feature.
