3. On the appointment overview page, you'll see the status of each booked service. Let's go over what each status means.
In our first example, the client's forms are not completed for their appointment.
Whenever one or more services have incomplete forms, a big red banner will appear with this message: "One or more scheduled services have incomplete intake forms and could not be reviewed as part of a GFE. Please follow up with the client for form completion and ensure GFE is submitted before treatment."
You'll find the status of each service right below its name in the services & products section. In this example, the status shows the client forms are incomplete.
4. Each service menu item status is tied to individual services on the appointment. Let's add an additional service to this appointment. You'll now see one status for each service on the appointment.
5. This is important to understand as every appointment has a GFE status that is unique to that appointment.
For example, if an appointment includes two different services, each service will have its own GFE status. These individual statuses will eventually combine to create one overall GFE status for the entire appointment as their assessment is completed.
Continuing with our Botox and Microneedling example you can see the overall GFE status is pending client forms.
6. Once a client completes all their forms the status of each service menu item status will update to Pending reviewer.
7. If you are an RN, the GFE is now in the GFE reviewer queue and waiting on them to do the assessment. If you are self-eligible to perform a GFE it will show up in your GFE queue.
8. After the reviewer completes the assessment, you'll see updated statuses for each service and the overall GFE status for the appointment.
In our example, one service is indicated, and the other is contraindicated. These two statuses combine to create the overall GFE status for this appointment.
If a service is not contraindicated, a red banner will appear with the message: "One or more scheduled services are not indicated treatments."
How to filter by upcoming appointments that include a contraindicated service or product

2. Click on the GFE filter.

✏️ Note - Take a look at this article for a detailed explanation of each option on the GFE filter.
5. You can click onto the appointment card to get more details. In our example we see that the Microneedling service attached to this specific appointment is contraindicated and so we can not perform this service on our client.
💡 Tip - It's a good idea to review upcoming appointments this way so you can see if any clients need to be contacted or followed up with about their eligibility for a scheduled service.
Difference between statuses on the appointment overview and GFE tabs
In this article, we've focused on the overview tab for an appointment. However, the appointment page also has a GFE tab. In this section, we'll explain the differences between these two tabs in more detail.
Overview tab
On the overview tab you can think of this as the view for the status of the current appointment. It contains the GFE status for the booked services and products.
❗Important - This is important to check during every appointment as it specifically looks at the services attached to the appointment.
GFE tab
When you go to the GFE tab for an appointment, you'll see an overview of the client at a big-picture level. This tab shows all the services and products assessed during the GFE review process. It's a summary of the client's entire GFE, not just the services and products for the specific appointment.
In the above example we can see all of the services assessed in the GFE review and their corresponding statuses.

Adding services to an appointment following a completed GFE
When a GFE is completed and the client is booked for another appointment you'll now clearly see what services they are indicated for along with any contraindications.
- A green check denotes the client is indicated or indicated with exceptions.
- A red x denotes the client is contraindicated
- No icon denotes the GFE review did not include this service as part of the review as the service was not attached to the intake form the client filled out. If scheduled the client will receive the intake form for this service and will require the GFE reviewer to asses the client for the service.
Service menu status glossary
Below you will find images of the various service menu item statuses and definitions for ease of reference.
The medical service attached to the service menu item for the appointment is indicated
One or more of the medical services or products attached to the service menu item for the appointment is not indicated.
The medical service attached to the service menu item is contraindicated.
Your MD/GFE reviewer was not comfortable marking the medical service(s) attached to the service menu item as indicated because they didn’t have enough information. Never treat a client that is not indicated. You can submit additional information which may help your reviewer indicate or contraindicate the client.
